What is DocuVaultIQ

Professional work stalls on the same thing every time: someone owes someone else a document, and nobody agrees on what's still missing. You send a list. They send four of nine files. You re-read the thread. You send the list again.

DocuVaultIQ ends that loop. You build one precise checklist — the revocable trust, the Schwab IRA ending 4471, the 2024 K-1 for the LP, and "confirm the beneficiary change posted." Every recipient gets their own encrypted link. Each line turns green the moment it's satisfied, and everyone is looking at the same board while it happens.

What it actually does

One list. One truth.

Every party — you, the client, the CPA, the attorney, the loan officer — looks at the same numbered list. No one has to reconstruct what was asked for from a three-week email thread.

AI does the filing

Drop 40 statements in at once. DocuVaultIQ reads each file, matches it to the right line — right custodian, right last-four, right tax year — and turns that line green. Anything it isn't sure about goes to Unidentified instead of guessing.

Not just documents

Half of what stalls a close isn't a PDF. It's 'call the title company' or 'confirm the beneficiary change went through.' Those are action items: same list, marked complete with a written update instead of a file.

Access without accounts

Recipients never register. They open a single-purpose link and confirm a one-time code. Every link is per-person and revocable in one click, without disturbing anyone else on the request.

Ends where your files live

Pick a destination when you build the request — the DocuVaultIQ vault, Box, SharePoint, Drive, or your SFTP endpoint — so completed documents land in the system of record you already run.

Embeddable and programmable

Send from inside the app, copy a share link, or call the REST API from your own client portal to open a request and mint recipient links programmatically.

How a request runs

    Build

    Type items, or paste 35 rows straight out of Word or Excel. Set custodian, account number, subject, owner, and due date per line.

  2. Step 2

    Send

    Each recipient gets their own link plus a one-time code. Copy the link, email it, or fire it from your own portal via the API.

  3. Step 3

    Collect

    Uploads land in encrypted storage and auto-complete their line. Bulk drops get sorted by AI; ambiguous files wait in Unidentified.

  4. Step 4

    Close

    Filter, sort, and edit inline like a spreadsheet until the board is green, then route the package to your destination of record.

How your documents are handled

This section describes the controls DocuVaultIQ has enabled today. It is maintained by the DocuVaultIQ team and is not an independent certification or audit report.

  • Encrypted in transit and at rest

    All traffic runs over HTTPS/TLS. Uploaded files are stored in a private object store that is encrypted at rest and is not publicly listable or readable.

  • Two factors for recipients, no accounts

    A recipient needs both an unguessable per-person link and a 6-digit one-time code delivered separately. Codes expire in 15 minutes, attempts are limited, and the resulting session is a short-lived httpOnly cookie.

  • Retention you choose per request

    Set a retention window when you create a request — keep indefinitely, or purge 30 days, 90 days, 1 year, or 7 years after completion — so files do not accumulate past your firm's policy.

  • Least-privilege access

    Database access is row-level restricted to your team. Downloads use short-lived signed URLs rather than permanent file links, and every issue, view, upload, and revoke is written to an immutable audit trail.

Your firm remains responsible for who you grant team access to, what you request, how you deliver one-time codes, and your own regulatory retention obligations.
